Group terms and conditions

Groups travelling together on an outbound and/or return flight can book by requesting a quote via the Group Offer request form. These group booking conditions (“Conditions”) apply to the offers of Transavia Airlines C.V. (“Transavia”) and the group booking made at Transavia.

General information

Quote without obligation
The quotations from Transavia are without obligation. Please keep in mind that the quote applies subject to availability. If several bookings are made for the same flight(s) between the time the offer is made and confirmed, this may affect the fare and availability. When you make the booking with us or take out an option on the indicative fare, we will recheck the availability and fare. The fares and the availability are final at the moment we book the hold option or confirm the booking in our system. You will receive a confirmation with a payment request on that basis. If there is no availability or the fare has changed, you will receive a new quote with the amended availability and/or fare.

Down payment
When the booking is made over 40 days before departure, you are due to pay a down payment of 20% of the travel price. If the group consists of 51 persons or more, the down payment is 30% of the travel price. With bookings made within 40 days before departure, no down payment applies and the full amount should be paid directly.

Payment of the balance
The balance should be paid no later than 40 days prior to departure. If the amount due is not received within the time period indicated then unfortunately we will be forced to cancel your booking. Any payment(s) already paid will not be refunded.

Names

After paying the full amount, you will receive an email with a link where you can enter the names of the passengers of the group. Using this link, you should enter all names and dates of birth. These details can be changed up to 5 days prior to departure. It is compulsory to enter the first names, last names and dates of birth in full as stated in the passports/national identity cards. If you wish to change a name and/or date of birth within 5 days prior to departure then you need to provide this information by telephone to the Service Centre. With a change request you incur a €50 fee per credit card. We therefore advise you to provide multiple changes at the same time. If all names in the group have to be entered, the charge is €50 per 10 names.

Babies in the group are linked to the first passengers you enter using the names link. Therefore, make sure the first passengers you enter are adults.

It is the responsibility of the partner that the names are filled in on time and correctly. Please note that names can’t be adjusted or uploaded at the airports by the check-in agent!

Changes

After booking, the number of persons within the group and luggage can be changed, subject to availability and capacity. It’s not possible to make a flight, date and/or destination change in the booking. When you prefer one of these changes you need to make a new offer. When you request a change, you will receive a new quote with the applicable fare. Would you like to book luggage for these people? Then you should request luggage again for these people. You can indicate that directly with the change request.

Babies

You do not have to book a seat for babies under 24 months. They can travel on their parent’s lap. For the current prices we refer you to our website www.transavia.com.

'Hold booking' option

An offer can be changed into an option in its whole. Meaning that if you requested an offer for a return flight, to transform only the outbound or return into an option, you need to request a new offer. The costs of taking an option are €100 for groups up to 50 persons and €200 for groups of more than 51 persons. The period depends on the number of days prior to departure. You can pay these costs using the payment link you receive by email. The payment must be completed within 24 hours. After that period, the payment link and your option automatically expire. An option is not possible ≤40 days prior to departure. When confirming the booking, the costs for the option are deducted from the down payment. If you do not book the option, you will not receive a refund.

Checking in

Groups should check in at the desk at the airport; groups cannot check in online. We advise groups to be at the airport at least 2.5 hours prior to departure. The group can check in together at once, or you can check in individually.

Cancellations

It is possible to cancel a booking, or a part of the booking. In case (part of) the booking is canceled, we will charge costs. The amount of the costs we charge depends on the time at which the booking is canceled.

*On the first change of your booking you can cancel free of charge up to 10% of the group size ≥ 41 days before departure. The 10% free cancellation is not applicable when you cancel the whole booking and ≤ 40 days before departure. The minimum group size must be maintained.

If the 10% free cancellation has already been used, the following conditions apply to all other changes;

** Percentage of the ticket price already received that will be charged with a cancellation ≥ 41 days before departure, if the free cancellation percentage is used up; 20% with a group size 1-50 passengers / 30% with a group size from 51 passengers. ≤ 40 days before departure, 100% costs will be charged for an additional cancellation.

*** Percentage of the total price that will be charged with full cancellation of the booking ≥ 41 days before departure; 20% with a group size 1-50 passengers / 30% with a group size from 51 passengers. ≤ 40 days before departure, 100% costs will be charged for a full cancellation.

Please note that ancillaries (SSRs) that have been booked (hold luggage, seat reservation or other special services) are non-refundable.

If a booking is (partly) cancelled ≥ 41 days before departure, the refund will be as follows; SSRs are non-refundable and are charged 100%. Depending on the group size, 20% or 30% of the total ticket price will be charged. If the deposit amount is higher than the amount due (20% or 30% of the ticket price + possible SSRs for 100%) then there will be a refund.

Additional products

Seat reservation
You can reserve specific seats for a fee through our Service Centre up to 48 hours prior to departure. The costs for reserving a seat depend on the position of the seat on board and the flight duration. For the complete conditions and rates for seat reservations, please refer to www.transavia.com.

Be aware that seat reservation is not refundable. In case of cancellation of a booking, these costs are therefore not refunded

Luggage
All group offers include 1 piece of hand luggage (40 x 30 x 20 cm) per person. Cabin bags (55 x 35 x 25 cm) can be added to the booking through our Service Centre, if available. You can also add hold luggage when booking. If you want to add extra hold luggage after booking, you can do so through the link (up to 5 days before departure) or through our Service Centre. Good to know: luggage is non-refundable. In case of cancellation of a booking, these costs are therefore not refunded.

Golf bags
Golf luggage should be registered separately, for the current prices we refer you to our website www.transavia.com. You can take one golf bag per person including clubs and one pair of golf shoes, up to a maximum weight of 15 kg. If you want to register extra golf bags after making your booking, you can use the names link (up to 5 days prior to departure) or contact our Service Centre. A limited number of golf bags can be booked and they can be registered subject to availability.

Be aware that golf bag is not refundable. In case of cancellation of a booking, these costs are therefore not refunded.

Winter sports equipment
Winter sports equipment should be registered separately, subject to availability. For the current prices we refer you to our website www.transavia.com.

Winter sports equipment is considered to be:

  • 1 pair of skis, 1 pair of boots, 1 pair of poles, skiing helmet, or
  • 1 snowboard with 1 pair of boots, skiing helmet, or
  • 1 sled of maximum 120 x 50 x 40 cm, skiing helmet

Maximum weight per set of equipment is 15kg. You can register winter sports equipment during the group request, or after making the booking using the names link or through our Service Centre.

Be aware that golf bag is not refundable. In case of cancellation of a booking, these costs are therefore not refunded.

Wheelchairs
You can apply for a wheelchair (and assistance) through our Service Centre, up to 2 working days prior to departure. If within a group over 4 wheelchairs or a special wheelchair are being transported, then this needs to be registered through a special procedure. You can request a form for this purpose from our Service Centre. This must be completed at least 6 weeks prior to departure.

Tax

The most recent tax applies. If you make a change within an existing booking, at that moment the most current tax will be applicable and calculated for the whole group. This means that there can be a price difference compared to the previous offer / booking.

Transavia’s General Conditions of Carriage apply to the booking and transport of passengers and luggage, unless and insofar as these conditions have been deviated from the Group Booking Conditions.
